Privacy Policy

DENTINHO (“we”, “us”) operates the DENTINHO web application available at dentinho.co.uk (the “Service”). We are committed to protecting your privacy and handling your personal and dental health data transparently. This Privacy Policy explains what we collect, why, who we share it with, and the rights you have under UK GDPR and the Data Protection Act 2018.

1. Who we are

DENTINHO is a personal dental health companion that helps you record and manage your oral-health information. You can contact us at hello@dentinho.co.uk.

2. Information we collect

Account information: your email address and password (stored as a hashed credential by our authentication provider), a display name you choose, and your account role.

Dental and health information you enter: dental chart entries, tooth conditions, treatment records, visit notes, appointments, cost records, smile-progress photos, care reminders, and documents you upload such as X-rays, quotes, invoices and treatment plans. This is special-category health data under UK GDPR.

Family member details: names, relationships and dates of birth you add for household members on the Family plan.

Usage and technical data: limited analytics events (such as which features you use), and standard technical data such as browser type, derived from your use of the Service.

3. How we use your information

We use your information to provide the Service — storing your dental records securely, running the AI dental assistant and reminders, processing payments, generating share links, and improving reliability and features. We do not sell your personal or health data.

4. Legal basis

We process your account data under contract and legitimate interests, and your health data under UK GDPR Article 9(2)(a) — your explicit consent — because you actively choose to record your dental information in DENTINHO. You can withdraw that consent and delete your data at any time.

5. Third parties we use to deliver the Service

To run DENTINHO we rely on the following service providers, each acting as a processor under appropriate terms:

  • Base44 — our application platform: hosting, database storage, user authentication, file storage for your document vault, transactional email (reminders, receipts and invitations), the AI assistant, and anonymous usage analytics.
  • Base44 Payments (powered by Wix) — checkout and subscription billing. Your payment card details are handled by Wix’s secure checkout; DENTINHO never sees or stores full card numbers.
  • Google AdSense — advertising on the Free tier only (see section 6).

6. Advertising and Google AdSense

On the Free plan, DENTINHO displays ads through Google AdSense to keep the Service free. Ads never appear on Standard or Family plans. Ad placements are limited to non-sensitive areas of the app (such as the dashboard and pricing pages) and are never shown in your health records, dental chart, treatment history, symptoms, vault or emergency information.

Your health data is never shared with advertisers. DENTINHO does not pass your dental or health information to Google AdSense or to any advertiser, and your health data is not used for ad targeting. AdSense may use its own cookies and similar technologies to serve ads based on your visits to this and other websites. For users in the UK, EEA and Switzerland, ad serving respects the consent signal returned by Google’s Privacy & Messaging consent experience: personalised advertising is only used where you have given the required consent, and you can withdraw consent at any time.

7. Sharing your information

We only share your data with the providers listed in section 5, as needed to run the Service, and where we are legally required to do so. Time-limited share links you create contain a read-only snapshot that you have explicitly chosen to share with a dentist or clinician.

8. International transfers

Some of the providers listed above process data outside the UK. We rely on them to use appropriate safeguards, such as UK International Data Transfer Agreements or recognised transfer mechanisms, when transferring personal data outside the UK.

9. Data retention

We keep your data for as long as your account is active. You can delete individual records or request deletion of your account and associated data by contacting us.

10. Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise these rights, email hello@dentinho.co.uk. You also have the right to complain to the ICO.

11. Cookies

Our use of cookies and similar technologies is described in our Cookie Policy.

12. Children

The Service is intended for adults. Family members added by a Family-plan subscriber are managed by that account holder, who is responsible for the information entered about children in their household.

13. Security

Sensitive documents in your vault are stored privately and accessed through time-limited signed URLs. We use industry-standard measures to protect your data, but no system is perfectly secure.

14. Changes to this policy

We may update this Privacy Policy. The “Last updated” date above reflects the most recent revision.
